AI & Automation · Contractors
The bid goes to whoever calls back first. Usually that is not you.
We are an execute-first consulting firm. We map where leads leak, jobs stall, and cash sits — then build AI and automation into the tools you already run: Jobber, Buildertrend, JobNimbus, CompanyCam, your CRM. Human in the loop, measured against a baseline we take before we touch anything.
The Outcome
What automation actually does for you
Not a gadget — measurable leverage on the numbers that decide whether the business makes money.
Every lead answered in minutes, not next business day
Angi, Thumbtack, web forms, and missed calls funnel into one queue that auto-responds, qualifies, and books — so the fast-callback advantage is finally yours.
Estimates and proposals out the door same day
We pre-fill your estimate templates from the intake details and past jobs, so a bid that took an evening at the kitchen table goes out before the lead cools.
Cash that used to age 60+ days moves faster
Progress-billing reminders, change-order capture, and collections nudges run automatically off your existing PM tool — you stop chasing, the money shows up.
An honest starting point
Here’s what we’d build — not a borrowed success story
We’re not going to hand you a fabricated case study. What follows is exactly what we would build for a business like yours, and how we’d prove it’s working. Every automation is scoped to your operation in an audit, built on the tools you already run, and measured against a baseline we set together — so you know what each piece is worth before we build it.
Who it’s for: Owner-operators and growing shops in the trades — general contractors, remodelers, roofers, electricians, plumbers, HVAC, landscapers — doing roughly $500K to $10M who are the bottleneck on follow-up, estimating, and billing. If leads slip because you are on a roof or under a sink, this is built for you. If you have no CRM, no estimating template, and no interest in one, we are not the right fit yet.
The Core Systems
Where AI moves the biggest numbers
Four systems account for most of the money left on the table in a home-services business: the lead you never called back, the bid you sent too late, the job that drifted, and the invoice that aged. We build these first because the return is easiest to see against your own numbers.
Speed-to-lead
Instant lead capture and first-touch
The problem: Leads arrive from Angi, Thumbtack, your website, Google, and the phone — scattered across inboxes and voicemails. The competitor who calls back in five minutes wins the bid; by evening the lead has hired someone else.
What we’d build: One intake pipe that pulls every source into a single queue, texts and emails the prospect within minutes, asks the qualifying questions, and books an estimate on your calendar. You get a clean, ranked handoff instead of a pile of half-dead leads. Every auto-message uses your wording and can be paused or reviewed.
Estimating
Faster estimates and proposals
The problem: Estimating happens after hours. By the time the proposal is formatted and sent, the job is cold — and inconsistent pricing eats margin on the ones you do land.
What we’d build: We wire your estimate and proposal templates to draft themselves from intake details, photos, and comparable past jobs, then hand you a draft to price and approve. Faster turnaround, consistent line items, fewer forgotten scope details. You still set every number.
Job flow
Scheduling and crew coordination
The problem: Crews show up to the wrong address, a material delivery slips, and the day unravels in a flurry of texts. Nobody has one clear picture of who is where.
What we’d build: Automated schedule confirmations, day-before reminders to crews and customers, and change alerts that push through Jobber or Buildertrend so a reschedule updates everyone at once. CompanyCam photos and site notes route to the right job automatically. Less dispatch chaos, fewer wasted truck rolls.
Cash
Progress billing and collections
The problem: Draws go out late, change orders get done on a handshake and never billed, and receivables age past 60 days while payroll is due Friday.
What we’d build: Milestone and progress-billing reminders trigger off job status, change-order requests get captured and priced before work proceeds, and a polite escalating collections cadence chases overdue invoices for you. We tune tone by customer so good clients get a nudge and chronic late-payers get firmness.
More Ways We Automate
The fuller menu
Beyond the four core systems, these are the automations trades shops ask for most. We sequence them by what your audit says will pay back fastest — not all at once.
Review generation
Trigger a review request to the right platform at job completion, timed to when the customer is happiest. More Google reviews compound into more inbound leads — the cheapest marketing you have.
Referral follow-up
Automated check-ins after a job closes that ask for referrals and surface repeat-work opportunities, so your best lead source stops depending on you remembering.
Missed-call text-back
Every call you cannot answer gets an instant text so the prospect does not simply dial the next contractor on the list.
Material takeoff and purchasing prep
Draft material lists and purchase-order details from the estimate, cutting the back-office time between winning a job and getting crews supplied.
Subcontractor coordination
Automated scheduling requests, insurance and COI reminders, and status pings to subs so their piece does not become the thing that stalls the job.
Change-order documentation
Capture scope changes with photos and notes from the field, generate the change order for signature, and make sure it gets billed — nothing done on a handshake and forgotten.
CRM hygiene and pipeline updates
Keep your CRM current automatically from email, calls, and job status — stale leads flagged, stages advanced, no more dead pipeline nobody trusts.
Warranty and callback tracking
Log warranty commitments and callback requests so they get scheduled and closed instead of living in someone’s memory until an angry call comes in.
Weekly owner dashboard
A plain-English recap each week — leads in, bid win rate, jobs in progress, receivables aging — pulled from your tools so you run the business on numbers, not gut.
The Numbers We Move
The numbers we move
Automation isn’t the goal; moving these is. We set a starting number in the audit and measure against it, so you always know what a build is worth.
Speed-to-lead
Time from lead arriving to first human-quality contact — the single biggest driver of bid win rate.
Lead-to-estimate rate
Share of inbound leads that actually get a booked, sent estimate instead of leaking out.
Bid turnaround time
Hours from site visit to proposal in the customer’s hands, while the job is still warm.
Estimate win rate
Percentage of sent proposals that close — improved by speed, consistency, and follow-up.
Days sales outstanding
Average age of receivables, pulled down by automated billing and collections cadence.
Review volume
Reviews generated per completed job — feeding the inbound lead engine over time.
Before we automate anything, we measure it. That means capturing your current speed-to-lead, bid turnaround, win rate, and DSO from your own tools so every result is compared against a real starting point — not an invented benchmark. If a system does not beat its baseline, we fix it or pull it. We have not published client outcome numbers here because this page describes what we would build for you; the honest number is the one we take from your business in week one.
The Engagement
Built on your operation, run by your team
A systems-first engagement scoped to your business — not a generic playbook and not a “learn ChatGPT” workshop. We assess, design, build, and train, so the automations get adopted, not abandoned.
Human-in-the-loop, always. AI drafts and forecasts; your team approves and acts. Nothing customer-facing goes out without you, and your people end the engagement more capable — not more dependent.
Every business is different. The audit is where we find your highest-ROI automation.
How It Works
From audit to automation that pays for itself
-
AI Operational Audit
We map your workflows, inventory the tools you run, and set baseline numbers so every later result has a starting line to beat.
-
ROI-ranked roadmap
A prioritized plan: which systems to automate first, what each is worth, and what it costs — before you spend on a build.
-
Build on your stack
Automations wired into the tools you already use — not a rip-and-replace onto new software.
-
Train & govern
Hands-on team training plus governance and data-privacy policies, with human-in-the-loop approval on anything customer-facing.
-
Measure & optimize
We track every automation against the baseline and keep tuning — and if something isn’t earning its keep, we change it.
FAQ
Contractors & Home Services — AI & automation questions
Do I have to switch off Jobber / Buildertrend / JobNimbus?
No. We build on the tools you already run. The whole point is to make your existing stack faster, not to sell you a new platform and a migration headache. If a tool is genuinely holding you back we will say so, but the default is to work with what you have.
Will AI be talking to my customers without me knowing?
Only where you approve it, and always in your voice. Automated first-touch texts and reminders are the kinds of messages you would send anyway, on templates you sign off on. Anything nuanced — pricing, disputes, judgment calls — routes to a human. You can review or pause any automated message.
I am a small shop. Is this overkill?
Small shops feel lead leakage the hardest because the owner is the bottleneck. We start with one or two systems — usually speed-to-lead and estimating — that pay for themselves fast, then expand only if the numbers justify it. We are not going to sell you a control room you do not need.
How long until I see results?
The first system — usually instant lead capture and follow-up — is typically live within a few weeks, and speed-to-lead improvements show up immediately because we measure them against your baseline. Bigger cash-cycle changes take a billing cycle or two to show in the numbers.
What does this cost?
It depends on how many systems you build and how complex your stack is. We scope it after the audit so you are pricing against a real roadmap, not a guess. We would rather quote you one high-ROI system than oversell a bundle you will not use.
Can you prove it works with a past client result?
This page is honest about being a capability description — what we would build for you — not a case study with borrowed numbers. The proof we stand behind is the baseline we take from your own business and the before-and-after we measure against it. We will not quote you results from a client that are not yours.
My leads come from six different places. Can you really pull them together?
That is exactly the problem we solve first. Angi, Thumbtack, web forms, Google, and phone calls funnel into one queue so nothing sits unseen in a separate inbox. The scattering is why fast leads go cold; consolidating it is where the early wins come from.
Who owns and maintains this after you are done?
You do. We build on your accounts, document how everything works, and train your team so you are not dependent on us to keep the lights on. We can stay on for support if you want it, but the systems are yours.
Is my customer and job data safe?
We work inside your existing tools and accounts rather than exporting your data somewhere new, and we scope access to what each automation actually needs. Data handling and permissions are part of the audit conversation up front, not an afterthought.
What if a job is unusual and the automation gets it wrong?
Automations handle the routine, repetitive volume — the confirmations, reminders, and standard follow-ups. Edge cases and anything requiring judgment are designed to flag for a human rather than guess. Human-in-the-loop is the design principle, not a disclaimer.
