This Privacy Policy explains how Coleman Management Advisors (“CMA,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards information when you visit https://colemanma.com (the “Site”), use our interactive tools, contact us, or purchase a service. By using the Site, you agree to the practices described here.
1. Who we are
Coleman Management Advisors is a management consulting firm located at 1920 McKinney Ave, Floor 7, Dallas, TX 75201. For privacy questions, contact us at dallas@colemanma.com or (573) 747-5573. We are the controller responsible for the personal information collected through the Site.
2. Information we collect
Information you provide
- Contact & inquiry details — your name, email, phone, business name, and the contents of any message when you use our contact, diagnostic, estimate, journal, “Ask CMA,” AI tools, or purchase forms.
- Tool inputs — information you enter into our interactive tools (for example, business details typed into the AI plan generator or reviewer, or answers to the diagnostic and scorecard).
- Purchase information — when you buy a fixed-scope engagement, your payment is processed by Intuit (QuickBooks Payments). We do not collect or store your full card or bank account numbers; that information is handled by Intuit under its own privacy terms.
- Scheduling information — when you book a call, scheduling details are collected through our booking system on portal.colemanma.com under its own terms.
Information collected automatically
- Usage & device data — pages viewed, referring URLs, approximate location, browser and device type, and similar analytics data, collected via Google Analytics 4 with IP-anonymization enabled.
- Event data — non-identifying interaction events (for example, that a “book a call” link or a form was used) to understand what content is useful.

3. How we use information
- To respond to your inquiries, deliver resources or tool results you request, and follow up about an engagement;
- To process and fulfill purchases of fixed-scope services and send related confirmations;
- To send transactional messages (such as an auto-reply confirming we received your message);
- To operate, secure, maintain, and improve the Site and our tools;
- To comply with law and enforce our terms.
We do not sell your personal information, and we do not use it for third-party advertising.
4. Service providers we share information with
We share information only with vendors that help us operate the Site and our business, and only as needed to perform their services for us:
- Netlify — website hosting and form processing (form submissions are delivered to us through Netlify).
- Google Analytics (Google LLC) — privacy-configured website analytics.
- Resend — sending our transactional/auto-reply emails.
- Anthropic (Claude) — powering the “Ask CMA” assistant and AI tools; text you submit to those features is sent to Anthropic to generate a response.
- Intuit / QuickBooks — payment processing and invoicing.
- Microsoft 365 — our business email.
Each provider processes information under its own privacy terms. We may also disclose information if required by law, to protect our rights or safety, or in connection with a business transfer.
5. The “Ask CMA” assistant & AI tools
Our AI features send the text you enter to Anthropic to generate a response and may retain a transcript so we can follow up if you ask us to. Please do not enter confidential, sensitive, or trade-secret information into these tools. Outputs are AI-generated, may be inaccurate, and are provided as a starting point only — see our Disclaimer.
6. Cookies & analytics
We use a limited set of cookies and similar technologies, primarily for Google Analytics 4 (configured with IP-anonymization). You can block or delete cookies through your browser settings; some features may not function as intended if you do. Because standards vary, we do not currently respond to browser “Do Not Track” signals.
7. Data retention
We keep personal information only as long as needed for the purposes above — typically the life of our relationship and a reasonable period afterward — and longer where required for legal, tax, accounting, or recordkeeping purposes. Analytics data is retained per our analytics provider’s configured retention period.
8. Security
We use reasonable administrative and technical safeguards appropriate to the sensitivity of the information. No website or transmission is perfectly secure, and we cannot guarantee absolute security.
9. Your rights & choices
You may request to access, correct, update, or delete personal information you’ve provided, and you may opt out of non-transactional emails at any time. Depending on where you live (for example, under the Texas Data Privacy and Security Act, California’s CCPA/CPRA, or the EU/UK GDPR), you may have additional rights, including the right to know, delete, correct, or port your information, and to be free from discrimination for exercising those rights. 10. Children’s privacy
The Site is intended for businesses and adults. We do not knowingly collect information from children under 13 (or under 16 where applicable).
11. International visitors
We operate in the United States. If you access the Site from outside the U.S., your information will be processed in the U.S., where data-protection laws may differ from those in your location.
12. Third-party links
The Site links to third-party websites (such as our booking page and external profiles). Their privacy practices are governed by their own policies, not this one.
13. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by the “Last updated” date above; continued use of the Site after a change constitutes acceptance.
