Operations Platform
Stop renting software built for someone else.
CMA builds one operating platform around how your business actually works — customers, scheduling, contracts, messaging, marketing, and your numbers, in a single system you own.
The platform we run our own firm on. Figures shown are demo data.
From $5,000 to build. Run it yourself from $80/month in upkeep, or we run it for $450/month. No per-seat fees, ever.
The Problem
You are paying for a stack you do not own.
A business with six to fifteen employees runs about nineteen active software subscriptions, at roughly $1,400 a month. Industry research puts around 30% of that spend on tools that are unused, underused, or duplicated by something else you already pay for.
It goes up every year whether or not you get anything new — 79% of IT leaders saw a price increase at renewal in the past twelve months. And at the end of a decade of paying, you own exactly nothing.
Worse, none of it was built for you. Your scheduling tool does not know your customers. Your CRM does not know your invoices. You are the integration.

What Changed
Custom software used to be out of reach. That is over.
For thirty years, software built for one small business was a fantasy. The engineering cost only made sense if you could sell the same product to fifty thousand companies — which is exactly why every tool you use is a compromise built for the average of everyone.
That economics broke. Building software is dramatically faster and cheaper than it was even three years ago. Work that used to take a team a year takes a small firm weeks.
Which means the compromise is no longer necessary. You can have a system shaped around how your business actually runs, and own it outright, for less than a year of your current subscriptions.
What It Replaces
One login. Your entire business.
- Customers & pipeline
- Scheduling & calendars
- E-signature & contracts
- Team chat & messaging
- Marketing & social posting
- Email campaigns
- Lead capture & routing
- Documents & forms
- Quotes & proposals
- Your numbers, live
- Reporting & alerts
- Your team’s permissions
Your books stay in QuickBooks, where your accountant wants them. The platform reads from it so your dashboard shows real numbers, not numbers you re-typed.
Everything else lives in one place, under one login, with one person to call when something breaks.
Built For You
Built around your business. Not the average of everyone else’s.
Off-the-shelf software makes you change how you work to match how it was built. We do the opposite.
Before we build anything, we map how your business actually runs — what a job looks like from first call to final invoice, who touches what, where things fall through. Then the platform gets built around that. Your stages. Your terminology. Your approvals. Your numbers on the front screen.
For a franchise operator we build multi-location views with per-site inventory. For a field service company we build work orders and dispatch. For a professional services firm we build client portals and retainer tracking. Same foundation underneath, a completely different system to use.
You will not be trained on our software. It will be built to match how you already work.
We map how you actually work
A working session and a walk-through of your operation. Not a questionnaire.
We build it around that
Your workflow, your language, your stages, your metrics on the home screen.
It grows with you
New location, new service line, new process — the system changes when you do.
What Is Inside
Six jobs, one system.
Run the day
The owner’s dashboard: today’s priorities, what needs attention, and alerts before something becomes a problem.
Win the work
Lead capture, pipeline, quotes and proposals, e-signature, and follow-up that happens without anyone remembering.
Do the work
Scheduling, assignments, job and project tracking, documents and forms.
Get paid
Invoicing, payment status, QuickBooks sync, and receivables at a glance.
Grow
Marketing email, social posting and scheduling, customer lists and segments.
Run the team
Channel-based team chat built in, plus roles and permissions, activity history, and full mobile access.
How It Works
How it works
-
Scope the build — 30 minutes
We walk through how your business runs and what it is costing you in software today. You leave with a fixed price, not a range.
-
Map your operation — week one
We document your actual workflow end to end: stages, handoffs, approvals, and the numbers you check every morning.
-
Build and configure — weeks two to four
We build it in house. No offshore contractors, no subcontractors, no handoff to a partner agency.
-
Launch, then your choice
We migrate your data and train your team. From there you either run it yourselves with us hosting and supporting, or we manage it for you. Either way the system is yours.
Bring your software bill to the call. We will price the alternative on the spot.
Pricing
Transparent, like everything else we quote.
Essential
The core platform, configured to your business.
From $5,000
Standard
Adds a module: inventory, a client portal, or field service.
From $8,500
Advanced
Multiple modules, multi-location, custom workflows.
From $15,000
From $80 per month
Your team runs it
You operate the system and pay only what it costs to keep it running. Upkeep starts around $80 a month and scales with the size of the business, the modules you use, and what you ask of it. We quote your number on the call.
$450 per month
We run it
Hosting, security, support, continuous updates, and CMA running the platform for you — the work inside it, not just the software under it. Flat, and it does not move when you add people.
Neither path is priced per seat, and neither carries an annual increase written into a contract you signed three years ago.
Want it fully in house? That is a supported outcome, not a penalty.
If you would rather your own team own the day-to-day, we hand the system over and coach them on running it — the admin surface, the workflows, and how to change things as the business changes. You are not locked into paying us to operate software you already own.
The Math
What it actually costs you.
A business paying around $1,400 a month across its current stack:
| Year 1 | Year 2 | Year 3 | Three years | |
|---|---|---|---|---|
| Stay on your current stack | $16,764 | $18,105 | $19,553 | $54,422 |
| Move to the platform | $10,400 | $5,400 | $5,400 | $21,200 |
| You keep | $6,364 | $12,705 | $14,153 | $33,222 |
You are ahead in the first year, including the build. You break even around month 5. And the gap widens every year, because their prices go up and ours does not.
Assumes an Essential build, the fully managed monthly, and a current stack escalating at 8% a year. If your own team runs the platform the gap is wider still. We run these numbers against your actual bills on the call.
Why Us
We build it. We are not reselling someone else’s platform.
Every line of it is built in house. There is no offshore development team, no white-labelled product with our logo on it, and no partner agency you get handed to after you sign.
That matters for one practical reason: when something breaks or needs to change, you call us, and the person who answers can actually fix it.
And because we run businesses before we build software, the platform knows what the numbers mean. It does not just show you a chart of receivables — it tells you which one is past due, and offers to send the reminder.
You own the system. Not a licence to use it.
The screenshots on this page are the platform we run Coleman Management Advisors on. It is the same foundation we would build yours from.
FAQ
Platform questions
Do I actually own it?
Yes. The system is yours. The monthly covers hosting, security, support and updates - not permission to use your own software. Running it day to day is your choice: keep it in house and pay only upkeep, or pay the managed rate and we run it.
Can our own team run it instead of CMA?
Yes, and plenty do. You pay only infrastructure upkeep - from about $80 a month, scaling with your size, modules and usage - while your team operates the system. We hand it over properly and coach your people on running it - the admin surface, the workflows, and how to change things as the business changes. If you would rather not think about it at all, the managed rate covers us running it for you.
What if we stop working together?
You keep the platform and your data. We document the handoff and help you move it. There is no hostage situation and no export fee.
Does this replace QuickBooks?
No, and it should not. Your books stay where your accountant wants them. The platform connects to QuickBooks so your dashboard shows live numbers instead of numbers you re-typed.
How long does it take?
Most Essential builds go live in two to four weeks from the mapping session.
What if I need something it does not do yet?
Tell us. If it is something your business genuinely needs, we build it. That is the entire point of the thing.
What happens to my current subscriptions?
We help you sequence the cancellations so nothing goes dark mid-transition. Most clients keep one or two tools they genuinely like, and that is fine.
Is my data secure?
Your platform runs on its own isolated environment with encrypted storage, role-based access, daily backups, and an activity log on every record.
Is this an AI product?
AI is how we build it and part of how it runs. It drafts your follow-ups, writes your social posts, and reads your numbers. But you are not buying AI. You are buying a system that runs your business, and you own it.
How is this different from your Process Automation service?
Process automation improves the stack you already run: we audit it and build automations into your existing tools. The platform replaces that stack with one system you own. If your tools mostly work and the handoffs do not, start with automation. If you are paying for a dozen subscriptions that do not talk to each other, start here.
Not Sure Which You Need?
Improve the stack, or replace it.
If your tools mostly work and it is the handoffs between them that fail, our process automation practice audits what you run and automates it in place. If you are paying for a dozen subscriptions that do not talk to each other, the platform replaces them. The intro call is the same either way, and we will tell you which one you actually need.
